Current Openings: We are currently seeking to fill the positions of Director of Research and Effectiveness, Registrar and Executive Administrative Assistant.

Executive Administrative Assistant: The Executive Administrative Assistant will work 40 hours per week and provide administrative support, including drafting confidential and sensitive correspondence, managing work-study students and coordinating initiatives in the Office of the President. The Executive Administrative Assistant also does the following:

  • Serves as the President's liaison to various university committees, including the Board of Trustees, as well as community, alumni, governmental and other external organizations

  • Review and prepare bi-monthly summary of employee reimbursements for payroll department.
  • Maintains relationships with vendors, school bookkeepers and department managers.

  • Assists with research, evaluation and production of written materials for meetings, panel discussions, speeches & publications.

  • Researches and produces briefing materials to inform the President on key issues.

  • Arranges and coordinates events and meetings.

  • Manages and maintains executives' schedules, appointments and travel arrangements.

  • Records, transcribes and distributes minutes of meetings.

  • Supervises and trains support staff, i.e., one receptionist and 1-2 administrative assistants.

 

Qualifications

Bachelor’s degree in any field.  Three years of experience working in higher education in an administrative support capacity that includes writing, research and analysis, and in using Word, Excel, Access and PowerPoint.

Director of Research & Institutional Effectiveness: The Director of Research & Institutional Effectiveness is responsible for developing and directing planning institutional research, data management, evaluation, assessments and program reviews. The Director implements and manages a comprehensive institutional effectiveness program, strategic and annual planning components, student outcomes assessment, program review (academic and nonacademic) and systems to evaluate effectiveness and continuous improvement. The Director supervises and manages the preparation and distribution of reports to meet local, state, regional and national requirements/directives and ensures accreditation compliance.

Responsibilities
The Director of Research & Institutional Effectiveness will provide the highest level of customer service while performing the following duties:

  • Coordinate the planning, implementation and evaluation of the College's Strategic Plan initiatives.
  • Facilitate the assessment of College outcomes with regard to mission and goals, leadership and governance, administrative structures and services, academic programs and institutional integrity.
  • Collaborate with the entire College community to establish priorities among College initiatives.
  • Engage faculty and staff in the planning and implementation phases of the College's initiatives, recommending that appropriate resources are allocated to the planning and implementation phases and assessing progress continuously to monitor implementation schedules and issue progress reports.
  • Provide leadership in the facilitation, development and assessment of a College-wide assessment plan.
  • Serve as chairperson of the College Strategic Planning Council.
  • Manage the gathering and dissemination of information related to the efficient implementation of the College's long-range planning effort.
  • Evaluate and make recommendations on the College's progress in its long-range plan,
  • Oversee the collection, organization, analysis and reporting of institutional data.
  • Provide support in the analysis and interpretation of student enrollment, retention data and student satisfaction levels.
  • Serve as a principal member of the College's accreditation team.
  • Coordinate a systematic and integrated institutional planning process that is aligned with SACS and TRACS accreditation standards and other planning and accountability requirements as part of an institutional effectiveness program.
  • Serve as a super user of the College's student database system.
  • Assume other related duties as assigned by the President or Vice President of the College

Qualifications
Master's degree in educational research or a related field requiring expertise in statistical research, review, analysis, interpretation and reporting.

Experience
Three years of increasing responsibility in the collection, analysis and presentation of research data and planning for institutional effectiveness. Three years of program or departmental management and leadership experience.

Registrar: Paul Quinn College seeks an experienced individual who will provide leadership in planning, organizing and managing all activities related to the academic records, registration process and related data of the college, including serving as the official authorized keeper of the College's student records.

Responsibilities
The Registrar will provide the highest level of customer service while performing the following duties:

  • Hire, supervise and evaluate the staff in the Office of the Registrar, including work-study students.
  • Organize and administer the records, registration and graduation functions, including transcript evaluations and degree audits.
  • Supervise the coordination, evaluation and certification of all graduation applications, while overseeing the complete graduation process, including all elements of the rehearsal and ceremony.
  • Collect, record, maintain and report student records (including, but not limited to, grades, registration data, transcripts, mid-term verification, athletic eligibility and audits) within FERPA guidelines.
  • Assume master user role for student database system, specifically CAMS (Three Rivers Systems) and complete regular training to keep skill level updated.
  • Maintain official student records in electronic and in limited paper form.
  • Coordinate with the Vice President of Academic Affairs to create the academic calendar and class schedules for each semester.
  • Regularly communicate with Enrollment Management, Financial Aid, Business Operations and Academic Affairs to ensure efficient and effective processing of students from application stage through registration, matriculation and graduation.
  • Follow accreditation standards for maintaining and collecting student records.
  • Develop and administer the departmental budget.
  • Research, analyze and make recommendations to resolve student grade disputes as they relate to records and registration.
  • Collaborate with administrators, faculty, IT and other college staff members to facilitate and improve services to students, including catalog and registration/records policy questions.
  • Collaborate with Institutional Research and Effectiveness to assess the key functions of the Office of the Registrar, including the compilation of data for IPEDS, ICUT and other internal and external data entities.
  • Serve on academic affairs committees and/or college wide committees as assigned.
  • Participate in national, regional and local professional development activities to develop and maintain necessary skills.
  • Provide assistance for registration services, including registering students, issuing transcripts, answering phones, scanning, reporting grades and working special events.

Qualifications
Candidates must have a master's degree in student services, educational administration or a related area, such as information management. Other qualifications include:

  • A verifiable record of successful supervisory experience in higher education.
  • Three years of direct experience at a small, private college or three to five years of experience in a related area.
  • Excellent customer service skills.
  • A demonstrated understanding of the application of technology to deliver records and registration services,
  • Verifiable experience in implementing and maintaining accrediting body standards, specifically with TRACS, SACS and the Texas Higher Education Coordinating Board guidelines.
  • Experience working successfully with diverse populations.
  • A positive attitude and ability to plan and adapt to change.
  • Ability to collaborate effectively with college departments and cross-functional teams.
  • Strong interpersonal, oral and written communication skills.
